Service Agreement
👉 Please note: This Service Agreement outlines the general scope of work provided by Groove Union. Specific package selections, service duration, inclusions, and any custom arrangements are detailed on the client’s invoice through emails.
The invoice serves as the final reference for your chosen configuration.
1. Overview of Services Provided
Groove Union agrees to provide DJ services for the Client’s wedding reception, which includes:

Live background music selection from start of reception (if applicable)

Live DJ set for dancing (2–3 hours unless otherwise agreed)
-
High-end DJ Equipment (Sound + Lighting) suitable for up to 200 people indoors (150 outdoors)

2x Wireless Microphones
-
Speeches and Music Recordings
-
Coordination with Bride, Groom & MC/Celebrant for key moments
-
Access to collaborative Spotify playlists for song requests
Optional Extras:
-
Ceremony Coverage (+$200)
-
Extra Hour Extensions (+$100/hr)

Over 50km travel distance (to quote)
2. Payment & Fees
-
Total Fee: As noted on invoice
-
Deposit (50%): Due to secure the booking
-
Balance Due: Payable no later than 30 days before the event
-
Travel Fee: If applicable – charged at $2.50/km over 50km from Jervis Bay
Payments are to be made via bank transfer to the account listed on the invoice. Invoices will be issued by D Komadina (via Hnry) – please check your email for payment details.
👉 Please ensure the invoice number is quoted in the payment description to help us track your payment accurately.
📅 From initial enquiry, your date will be held for 7 days. If the deposit is not received within that time, the date may be released and offered to other couples.
3. Cancellation & Refund Policy
If the Client Cancels:

90+ days’ notice – Full refund of deposit
-
30–89 days’ notice – 50% of deposit refunded
-
Less than 30 days – Deposit is non-refundable
If Groove Union Cancels:
In the unlikely event that Groove Union cannot perform due to illness, accident, or an unforeseen emergency:

A suitable replacement DJ will be arranged where possible
-
If a replacement cannot be arranged, a full refund will be issued
Force Majeure / Acts of God:
If the event is cancelled or significantly impacted by circumstances beyond either party’s control (e.g. extreme weather, government restrictions, venue closure, natural disaster, pandemic-related disruption):

Groove Union will work with the Client to reschedule the date at no additional cost, subject to availability

If rescheduling is not possible, a partial refund may be offered
4. Equipment & Setup
Groove Union will supply all necessary DJ equipment, including sound and lighting (unless otherwise agreed). Setup requires venue access at least 1 hour before start time.
The Client agrees to ensure:

A safe, flat, and weatherproof performance area
-
Access to standard 240V power outlets
Equipment and setup fees are included in the total prices.
5. Client Responsibilities
To ensure a smooth and memorable experience, the Client agrees to:

Confirm the venue permits amplified music and any noise restrictions that could impact DJ services
-
Provide any special music requests and timeline details no later than 1 week prior
-
Designate a reliable point of contact for the day of the wedding
-
Be available for a brief planning call or meeting prior to the event if requested
-
Ensure strict adherence to venue cut-off times and volume limits. Exceeding these may result in fines and/or suspension of the venue’s license. Groove Union will not be held liable for breaches – any fines or penalties imposed will be the responsibility of the Client.
6. Liability
Groove Union is not responsible for:

Delays caused by the venue, catering, or other vendors
-
Equipment damage caused by guests or venue negligence (any such damage must be reimbursed by the Client)

Venue power issues or weather-related disruptions beyond Groove Union’s control
7. Photo & Video Release
The Client agrees that Groove Union may use photos or short video clips taken at the event for promotional use on social media or the Groove Union website.
Please let me know if you do not consent to this.
8. Agreement
This Agreement constitutes the entire understanding between the parties.
Any changes must be agreed upon in writing by both parties.
